After including the proposed decision, the lowest projected cash remains at least 10% above the full protected decision floor (safety reserve + active protected goals).
Use the Decision Assistant without needing finance knowledge
The tool is designed to answer one practical question: Can the academy safely make this decision while protecting its safety reserve and any money already reserved for specific goals? Start with the four steps below and use the detailed sections only when needed.
Four steps before the first real decision
Open Settings. Enter current cash, expected monthly tuition income, collection rate, growth assumption and the safety reserve. Add any separate protected goals underneath Settings when money is already earmarked for a specific purpose.
Open Expenses. Tick only the predefined expenses that currently apply and update their amounts, frequency and due timing.
Open Budget & Forecast, review the 6-month Expected scenario and save a snapshot. Home can then show What Changed? against this baseline.
Open Decision Check, enter what you want to spend, the planned month and scenario. Read the recommendation and save the eventual action in History.
Safe, Caution and Not Advisable
Projected cash stays above the protected decision floor, but by less than the 10% comfort buffer. Review timing, amount and assumptions before proceeding.
The proposed decision would take projected cash below the protected decision floor at some point in the selected forecast horizon.
Screen-by-screen guide
What the important figures mean
- Current Cash
- The cash / bank balance entered in Settings.
- Protected Safety Reserve
- Your core emergency buffer.
- Protected Goals
- Additional money earmarked for a specific purpose. Active goals are added to the safety reserve.
- Protected Decision Floor
- Safety Reserve + all active Protected Goals. New decisions are tested against this full amount.
- Safe to Use
- Current cash minus this month’s planned expenses minus the full protected decision floor, never shown below ₹0. Future expected income is deliberately not counted.
- Lowest Projected Cash
- The lowest closing-cash point found anywhere in the selected forecast period.
- Comfortable Spend Limit
- Approximate maximum additional spending at the selected timing while still retaining the 10% comfort buffer above the protected decision floor.
- Absolute Reserve-Limit Capacity
- Approximate maximum additional spending before projected cash reaches the protected decision floor. This is not the preferred spending target.
- Safer Timing
- A later month where the same proposed amount improves to a better decision status, when the forecast finds one.
Only three steps for the person making the decision
Upload the Academic Planner JSON on Teaching Cost. Only configured Core Teaching Hours are treated as the authoritative workload.
For each subject choose either Hourly Rate or Chapter / Unit Cost. The other rate form is calculated automatically under View Details. Monetary values use Indian Rupees (₹) with Indian lakh/crore grouping.
Read Estimated Teaching Cost, Highest Safe Budget, Do Not Exceed and the SAFE / CAUTION / NOT ADVISABLE decision. Detailed calculations stay under View Details.
If the quote is above the safe ceiling, the module tells you how much it should be reduced. It does not create payroll or accounting transactions.
Choose the right type of decision
Test one amount in one planned month.
Compare two or three alternatives under the same scenario and horizon.
Test the full duration of a new monthly commitment, not only its first payment.
Split one total amount across multiple payments and compare the effect with paying all at once.
Estimate how many additional students are needed to cover a proposed recurring monthly cost.
Keep earmarked money outside ordinary decision capacity without creating accounting transactions.
See the next 12 months as Strong, Comfortable, Tight or Protected-floor Risk and view saved decisions assigned to each month.
How the extra guidance works
High / Medium / Low based on whether the recommendation remains stable across Conservative, Expected and Better scenarios and whether the current decision inputs pass readiness checks.
Stress-tests collection rate, expected tuition income, selected expenses and income-growth assumptions one at a time to show which assumption can change the decision most.
A transparent 0–100 internal indicator based on protected-cash pressure, scenario stability, commitment size and forecast horizon. It is not a credit, investment or accounting risk score.
If a proposal is tight or not advisable, the assistant tests a lower commitment, later timing and—where relevant—phasing to find a safer structure.
Prefill common academy choices such as equipment, teacher hiring, marketing, renovation, new class support and emergency spending. Always review the values before running the check.
No separate duplicate tool is needed: the existing A/B/C Compare Options flow already compares different opportunities using the same protected-cash rules.
How the new planning tools work
Save reusable simulation overlays such as Weak Collections or High-Cost Period. They change only the temporary decision simulation and never overwrite the stored current position.
Test two or three decisions at the same time so individually acceptable commitments are not approved without checking their combined cash effect.
Tests Decision B alone and then with Decision A. It flags a status downgrade as a blocking dependency and meaningful buffer loss as dependency pressure.
When a decision must happen by a deadline, the assistant tests every eligible month and recommends the month with the strongest protected-cash result.
Uses the final action and the outcome review marked in History to show how often decisions are reviewed, how outcomes are perceived, and whether decisive guidance was followed.
P2 learns from decision reviews only. It does not import transactions, reconcile banks, create invoices or behave like accounting software.
How to maintain the predefined expense list
Tick an expense when it should be included in the current plan. Untick it when it does not apply to this run.
The amount is included every month.
The amount repeats every three months starting from the selected due-month number.
The amount is included once each year in the selected due-month number.
Enter an exact YYYY-MM month. Without that month the item is deliberately excluded from the forecast and a warning appears.
Use this to keep an item in the master catalogue but temporarily disable it. Avoid creating duplicate names.
A simple working rhythm
- When reality changes: update current cash / income assumptions or expense values.
- Before a meaningful spend: run Decision Check rather than deciding from bank balance alone.
- Every month: save a fresh 6-month Expected forecast so Home can compare the latest outlook.
- After the real decision: mark Proceed, Delay or Cancel in History and add a short outcome note.
- Regularly: download a JSON backup, especially before major changes or restore operations.
Check these first
- Is Current Cash up to date?
- Is Expected Monthly Tuition Income realistic?
- Is the Collection Rate realistic rather than ideal?
- Are all relevant expenses ticked as Use?
- Do annual / quarterly expenses have the correct due month?
- Do one-time expenses have an exact month?
- Is the Safety Reserve set to the amount you genuinely want protected?
- Are you looking at the appropriate Conservative / Expected / Better scenario?
Why the tool keeps history
Saved decisions and forecast snapshots preserve what was known at that time. History helps answer: What did I know? What did the tool recommend? What did I decide? What happened? Changing today’s settings does not rewrite an already saved decision snapshot.
